Center Configuration

Center Configuration, which is found in Admin Home in the Configuration section, is where assorted center specific settings are selected. See below for specific details about configuration settings.

 

System of Measure

Imperial - Measurements in increments of inches, feet, pounds

Metric - Measurements in increments of centimeters, kilograms

 

Temperature Unit

Fahrenheit - Measurements in increments of degrees Fahrenheit

Centigrade - Measurements in increments of degrees Centigrade

 

Merge Preference Cards for multiple procedures

Merge - For two or more procedures on separate rows on the appointment screen, if the supply item appears on more than one preference card, the quantity in the Supplies Used BLOC will default to the higher quantity for that item from the related preference cards.

Example: Cataract requires 1-30ml BSS bottle, Corneal transplant requires 3–30ml bottles of BSS. If the Merge Preference setting is set to “Merge”, the supplies used will show 3-30ml bottles of BSS.

Primary Procedure Card Only- Only items listed on the preference card for the primary procedure (the first procedure listed on the appointment screen) will display in the Supplies Used BLOC.

 

Hide unsigned Physician Orders automatically on signing

Yes - All unsigned orders will immediately be hidden after the provider signature is applied.

No - Unsigned orders will not automatically be hidden after signing. The provider will still be able to Hide the unsigned orders if desired using the Hide button.

 

Hide unsigned Anesthesia Orders automatically on signing (BLOC129)

Yes - All unsigned orders will immediately be hidden after the provider signature is applied.

No - Unsigned orders will not automatically be hidden after signing. The provider will still be able to Hide the unsigned orders if desired using the Hide button.

 

Remove incomplete BLOCs below Communication Log BLOC on Date of Service

Yes - When user selects the “Unable to contact patient/Unable to complete call” checkbox in the Communication BLOC 005 in the Pre-op or Post-op Communications Areas, all the non-mandatory incomplete BLOCs that follow (BLOCs below the Communication Log in the workflow) will be removed during the nightly admin jobs the night following the patient stay. Assuming any BLOCs present before the Communication Log are complete, the workflow will be 100% complete and no tasks will be generated in Task Manger for the removed BLOCs. If BLOC(s) need to be reinstated, the user may do so by selecting “Add After” from the ellipse menu in the upper right corner of the Communication Log BLOC 005 and select the Restore Inactive BLOC tab.

No - No BLOCs will be automatically removed.

 

Never fill Room In/Out, Anesthesia Start/Stop, Registration End data from elsewhere

Yes - The Room In/Out, Anesthesia Start/Stop, and Registration End times will never be crossfilled by other times documented in the chart.

No – The Room In/Out, Anesthesia Start/Stop, and Registration End times may be crossfilled by other times documented in the chart.

 

Use Room-in and Room-Out times to fill Anesthesia Start and Anesthesia Stop times

Yes - The Intra-Op Room In time will crossfill the Anesthesia Start Time. The Intra-Op Room Out time will crossfill the Anesthesia Stop Time.

No – No times auto populate the Anesthesia Start or Stop BLOCs.

 

Anesthesia Start Time BLOC will populate Intra-op Room in Time

Yes - The Anesthesia Start time will crossfill the Intra-Op Room In time. The “Transport Via, Location Room, or Receiving Staff” fields will not be completed.

No - Will not populate any times into the Intra-op Room In time

 

Read Only Room In/Out, Anesthesia Start/Stop data if fill-able from elsewhere

Yes - The Stop Time, Location, Transportation, and Staff fields in Room Out BLOCs will be read only and can only be backfilled by a completed Room In BLOC. If "Use Room-In and Room-Out times to fill Anesthesia Start and Anesthesia Stop Times" or "Anesthesia Start Time will populate Intra-op Room in Time" have "Yes" selected, then the Time field which gets filled in will be disabled. Users will be unable to edit the times in those fields. This setting does not affect the Registration Stop or Discharge Status BLOCs. If this setting is selected, the Center should always have a Discharge Status BLOC in the last workflow of a chart, as the Room Out BLOC will be read only.

No - Fields which are filled from elsewhere in the chart will still be editable by the user.

 

Requires additional field for Anesthesia Machine in Vital Signs Graph BLOCs

Yes - The center has more than one machine pulling in data into the Vital Signs – The Graphs BLOC 014 or 143, such as a gas monitor and a patient monitor. By selecting “yes,” a second field will appear in the Vitals Anesthesia - The Graphs to select the 2nd machine.

No - Center only has only one patient monitor pulling data into eChart.

 

Warn if Procedure Consent is not signed.

Yes - If an alert type Procedure Consent BLOC 105 has not been signed by all required parties, the “Warning – procedure consent not signed! Override authorized by” will appear in the Intra-Op Room In BLOC 011 and in Anesthesia Start BLOC 085 for the user to acknowledge the unsigned procedure consent.

No - No warning will appear in the Intra-op room in BLOC 011 or in Anesthesia Start BLOC 085

 

Warn if H&P attestation is not signed in Intra-op

Yes - If H & P Attestation has not been signed by the physician, the “Warning – H & P attestation not signed! Override authorized by” will appear in the Intra-Op Room In BLOC 011 and the Anesthesia Start BLOC 085 for the user to acknowledge that they are aware that the H & P Attestation BLOC 097 has not been signed. The receiving staff will be able to acknowledge the person who authorized this action.

No - No warning will appear in the Intra-op Room In BLOC 011 or the Anesthesia Start BLOC 085.

 

Perform nightly updates of room times in Practice Management

Yes – The system will check HST Practice Management for missing times and use HST eChart times to complete as necessary.

No – Errant times will not be backfilled to HST Practice Management

Note: If Incision Start and Stop Time is in the Anesthesia workflow and not the Intra-op Workflow, the time will not backfill into HST Practice Management unless yes is selected.

 

Room-In BLOC will detect late start

Yes - Center can configure the number of minutes allowed before the Intra-op Room In time is considered late (further down in Center Config). When "Yes" is selected for the setting and a late start is detected, the Room In BLOC will contain a drop-down list for the user to indicate why the patient has arrived into the OR past this pre-determined allowable time. The drop-down pulls from HST Practice Management>Administration> Code Table Maintenance>Center Tables>Late Start Reason.

No - No late start will be detected.

 

Tasks can be re-assigned to anyone (not just Task Administrator)

Yes - Users may reassign a task to another HST eChart user and free text the reason for this re-assignment.

No - Task can only be reassigned to the Task Administrators.

 

Process automatically the supplies used

Yes - Once supplies have been confirmed in the HST eChart, they will automatically post to inventory.

No - Once supplies have been confirmed in HST eChart, they will not automatically be posted to inventory. Supplies can be reviewed by Materials Manager and then posted to inventory.

 

Show Supervising Anesthesia Provider

Some states require a CRNA to be supervised by an Anesthesiologist.

Yes - Will allow the “supervising Anesthesiologist” to be selected from a drop down.

No - The Supervising Provider field will not appear in the Anesthesia Start BLOC.

 

Default Lab Request ID to Patient ID

Yes – When entering a specimen, the Lab Request ID will automatically be populated with the Patient ID.

No – The Lab Request ID will be left blank and will be manually filled in per the Center’s policy.

 

Always exclude discharged patient from the active Patient Locator List

Yes – When a patient is marked as Discharged in the Discharge Status BLOC 058, they will automatically drop from the Clinical Patient Locator view.

No – All patients will remain on the Clinical Patient Locator view regardless of Discharge Status.

 

Registration Location

Setting the Registration Location will allow the system to update the patient location color based on what is set in HST Practice Management or HST eChart. For a location to exist, it must be entered in the HST Practice Management Code Table "Patient Location." Check the HST Practice Management code table and add the desired name for Registration if necessary. If there is a Registration Workflow that includes a Registration Start Time in HST eChart, that location should be set to Registration. If there is not a Registration Area in any Chart Template or there is not a Registration Start BLOC in that workflow, a different area may be chosen to map the color for this functionality or select “None."

 

Registration Complete Location

Setting the Registration Completion Location will allow the system to update the patient location color based on what is set in HST Practice Management or HST eChart. For a location to exist, it must be entered in the HST Practice Management Code Table "Patient Location." Check the HST Practice Management code table and add the desired name for Registration if necessary. If there is a Registration Workflow that includes a Registration End Time in HST eChart, that location should be set to Registration Complete. If there is not a Registration Area in any Chart Template or there is not a Registration End BLOC in that workflow, a different area may be chosen to map the color for this functionality or select “None."

 

Discharge Location

Setting the Discharge Location will allow the system to update the patient location color based on what is set in HST Practice Management or HST eChart. For a location to exist, it must be entered in HST Practice Management Code table Patient Location. Check the HST Practice Management code table and add the desired name for Discharge if necessary.

Note: The color mapping in eChart is located in Admin Home.

 

Default Primary Language

In the Communication Log BLOC, the default Primary Language can be pre-populated via this configuration setting. The selection of languages to set as default is populated from the HST Practice Management Code Table "Language Code."

 

Late Start

The number of minutes differential between the scheduled time and Intra-op Room In time for a case to be considered a late start.

The Center Configuration setting “Room In BLOC will detect late start” must be set to "Yes" to make this feature function.

 

Days to wait to move Audit Log Records

Data in the BLOC Audit Log is located in the ellipsis menu to the right of each BLOC header. Its purpose is to provide the user with immediate information about who and what edits have been made to the BLOC. It occupies copious amounts of storage; therefore, it is viewable by the user for only a pre-determined length of time. The audit log data is stored permanently in HST Practice Management and can be obtained via Report OP5026. It transfers from HST eChart to HST Practice Management at night and is available the day after the DOS. The center should set this date for slightly after the Policy for completing the Medical Record. NOTE: as of 2/6/2024 it is known that this function is currently not currently working correctly and audit logs appear available in the BLOC Audit Log until the chart is closed.

 

Historical Questionnaires: Days during which Questions responses from prior visits can be reused

The responses to Historical questionnaires and Questions (Historic) BLOC 122, will auto populate future visits for the days set here. This is designed for patients who return multiple times and whose answers are likely to remain the same throughout these multiple visits. Typical date range would be 6-12 months.

Note: Data entered in Allergy BLOC 003, Home Medications BLOC 010, and Problems List BLOC 109 automatically populates any future visits with no date limit.

 

Days during which the patient’s picture can be reused

This setting will determine how far into the future the patient’s picture will auto populate the header image. Typical setting for this is 1 year for adults and 3 months for children.

 

Minutes after which to lock out of inactivity

In accordance with the Centers HIPPA policy, the automatic logging out of the users after a set time span of inactivity can be set here.

 

Login Messages

This setting allows a message to pop up to users when the log into HST eChart.

 

Login Messages Effective From (select date and time from Date Selector)

This sets the date and time that the Login Message will begin being displayed.

 

Login Messages Effective To (select date and time from Date Selector)

This sets the date and time that the Login Message will stop being displayed.

 

DoseSpot: Activation, Clinic Id, Clinic Key, and Prescribing Physician Id

These setting are for DoseSpot, an optional e-prescribing feature.

 

eChart Go Live Date

This setting is useful for Centers that were live in HST Practice Management before going live with HST eChart. It allows the user, when in a chart's Previous Visits Summary tab, to differentiate between cases that were completed prior to eChart go live from previous visits where the chart was not opened/created.

  • If no Go Live Date is set, visits scheduled before the go live date and visits where the chart was not created/opened will both have the status of "Fully Performed" in the Previous Visits Summary tab.
  • When a Go Live Date is set, visits prior to the go live date will have the status of "Fully Performed." Visits on or after the go live date where the chart was not created/opened will have the status of "No Chart."

 

User Preference for one tap signature

This setting controls whether individual users can enable single tap signature. When set to "On," users can enable single tap signatures in their HST eChart User Preferences. When set to "Off," the setting is hidden in User Preferences and all user signatures are applied using the two-tap method.

When single tap signature is turned on in Center Configuration and also in the user's preferences, when the user taps the Sign button in an HST eChart BLOC their signature will be applied - they will not be prompted to confirm their name prior to the signature application.
